Moving from our old SmoothPay Gold desktop payroll?


This process generally takes only a few minutes, as all we do is create your online account and copy your existing payroll database.
  • just make a fresh backup to our free offsite internet backup (option is in the Backup screen), then email to say it's been done.
  • we then copy your database into goPayroll and send you your login details (the contact info we have on record designates who "owns" the site and controls access, unless we are advised otherwise).
  • you must not use the old desktop payroll beyond that point (repeating the move to goPayroll is chargeable, first time is free)
  • do not leave the move until payday - allow time for some retraining (available free from our HelpDesk)
The main differences you'll note are:
  • it's a web application and you can use it from any internet connected computer - no software or updates to install
  • you can try it out anytime from the live demos for each supported country available from our home page: https://gopayroll.net
  • you need to use the edit tool [/] to make changes - you'll see it everywhere
  • reports can be viewed and searched, and you can render to PDF and Excel
  • all reports produced can be reviewed afterwards for as long as you keep them (and you can view or render to PDF or Excel) - see the Print page
  • any files created (direct credit, glcosting etc.) can be found in the Files page, where you can select and download for use with the bank, accounting etc.
  • emailing payslips is set to Test mode by default (so you can try things out without bombarding staff with test payslips) - just set to Live when you're ready.
The systems should be very familiar, the processes are identical - but if you need help please just call and ask.



Load your own data?


Moving only a few staff from an outside payroll system, then this is often the best and easiest method - just add or import your staff from a simple CSV file (using our built-in FlexiCSV import tool), fix up their records and you're ready to go.

It also costs you nothing but a little time collecting the data you need and entering it directly into goPayroll, or importing basic data from a CSV file.

Please Note: If you intend to migrate your own data, then you must observe the following:
  • NZ requires pay history capture and days paid per employee and per pay for the last 12 months (in order to correctly calculate Holidays Act averages)
  • Most other countries should capture pays or a total YTD to the end of the previous tax month before commencing pay processing



Manual paper or spreadsheet payroll data?


The migration process is as easy as we can make it - via a spreadsheet template available below which you send back to us to populate your database
Please Note: If you intend to migrate your own data, then you must observe the following:
  • NZ requires pay history capture and days paid, per employee and per pay, for the last 12 months (in order to correctly calculate Holidays Act averages) - your migration sheet will not be processed if this information is not supplied
  • Most other countries should capture pays for the tax year, or a total YTD, to the end of the previous tax month before commencing pay processing



If you have an existing desktop payroll program


We can migrate directly from most common desktop payroll products.

Just email us a fresh backup of your payroll database (this MUST be created AFTER completing the payrun) or if the file is very large upload it here (then email us to let us know!) and we'll take a look to see if we can convert the data it contains.

One common exception we know of is current versions of Attache which encrypts your data effectively preventing you moving to a system where you own access to your own data (some vendors try to lock you in by this means) - you will need to use our spreadsheet migration method instead.

ACE payroll migrations require additional information that significantly improves the value of the migrated data - please use this spreadsheet to provide the additional information required.



Migrating from an online payroll system?


Direct migration is all well and good for most desktop payroll systems (though some have baffling encryption and are not able to be converted), however there's only one online payroll system that we know of that allows you to download an entire copy of your database any time you want (and that's goPayroll).

If you want to migrate from an online payroll then it may be possible using selected extracts, otherwise it's probably better to use the template method above.
